General
These general terms and conditions apply to the use of the AutoReg service («the Service» or «AutoReg») and apply to both use within the app and the scheduling module, and constitute a contract between you and the company providing the Service, AutoReg AS, Hattvikveien 2, 8373 Ballstad, Norway («the Company»). These terms and conditions govern your access to and use of the Service, and all log data, routing lists, text, graphics, or other material transmitted, received, stored, or otherwise displayed within the Service (collectively referred to as «Content«). Parts of the Service may display content that is not AutoReg's (»User Content«). Such content is the sole responsibility of the person or entity that has made it available. When »Content« is used in this document, it refers to both content provided by AutoReg and User Content collectively, unless specified otherwise.
Where applicable, «the Company» shall also be understood as a reference to affiliated companies, suppliers, partners, and other third parties that AutoReg AS may engage or otherwise cooperate with in connection with the Service.
By using AutoReg, you agree to these General Terms and Conditions and Privacy Policy (collectively referred to as the «Terms»). Please read them carefully. If you do not agree to the Terms, you may not use AutoReg.
We may change these terms at any time. If a change is material, we will notify you before it takes effect, provided we have your correct email address. By using Autoreg on or after the effective date, you agree to the new terms. If you do not agree, you should delete your account before they take effect, otherwise your use of the service and content will be subject to the new terms. For paid versions of the services or content that you have already purchased, we will notify you at least 30 days in advance of any material changes, including price changes.
2. How you can use the service
Your use of AutoReg requires that you have hardware, software, and an Internet connection that meet certain recommended requirements, which may be specified by our support team. If the recommended requirements are not met, you may still be able to use the Service, but typically with lower quality or performance. Such reduced quality or performance will not entitle you to claim compensation from AutoReg.
To use the Service, you must create an AutoReg account. You can register an account by contacting AutoReg, following the instructions on the website, or any other instructions provided to you. You are responsible for providing and maintaining accurate and up-to-date personal information, and for protecting your account information. You may not select or use the identity of another person with the intent to impersonate that person. You must use a valid email address and phone number, and AutoReg reserves the right to verify this at any time. AutoReg will not be held liable for any loss or damage resulting from your failure to comply with the above requirements.
Your account is strictly personal and shall not be used by other persons without your supervision. You shall also not assign your account to any other person. You are in any case solely responsible for the use of the service through your personal user account.
We may change, terminate, or suspend access to any aspect of the Service or your Account at any time and without notice. We reserve the right to impose usage limitations based on what we deem to be fair or legitimate use.
You are responsible for your use of AutoReg, including the legality of any content that you display, share, upload, or otherwise make available within the Service («User Content»). User Content includes any data provided by the end-user within the Service, and you are responsible for ensuring that all content does not include Prohibited User Content (e.g., use not approved by Norwegian law). Some content may be publicly accessible as part of the Service you have ordered or enabled.
Content and Service Usage Limitations
We also reserve the right to access, read, preserve, and disclose any information that we reasonably believe is necessary to (i) satisfy any applicable law, regulation, legal process, or governmental request, (ii) enforce the terms, including investigation of potential violations thereof, (iii) detect, prevent, or otherwise address fraud, security, or technical issues, (iv) respond to user support requests, or (v) protect our rights, property, or safety, our users, and the public.
Any use of or reliance on any content or material posted via the Service or obtained by you through the Service is at your own risk. We do not endorse, support, represent, or guarantee the completeness, truthfulness, accuracy, or reliability of any content or communications posted via the Services. We grant you a personal, limited, worldwide, royalty-free, non-assignable, non-sublicensable, and non-exclusive license to use the software provided to you by us as part of the Service for your personal or business use. This license is solely to enable you to use the Service as provided by us, in the manner permitted by these Terms.
You may not do any of the following while accessing or using the Services: (i) access, tamper with, or use non-public areas of the Services, our internal computer systems including the technical delivery systems of our subcontractors used to deliver the Services; (ii) probe, scan, or test the vulnerability of any system or network or breach or circumvent any security or authentication measures; (iii) access or search or attempt to access or search the Services in any manner (automated or otherwise) other than through our available, published interfaces that are provided by us (and only in accordance with these Terms and Conditions), unless you have been specifically permitted to do so in a separate agreement with us; (iv) forge any TCP/IP packet header or any part of the header information in any email or posting, or in any way use the Services to send altered, deceptive, or false source-identifying information; or (v) disrupt, or interfere with, (or attempt to do so), the access of any user, host, or network, or by scripting the creation of content in such a manner as to interfere with or create an undue burden on the Services or its users.
The service may contain cryptographic functionality, the export of which may be restricted under applicable export control laws. You shall not export or re-export the service or any part thereof in violation of such laws or regulations.
3. Privacy and Personal Data
For the delivery of the Service, AutoReg will collect and process personal data about you and your use of the Service. AutoReg will comply with Norwegian and EU personal data regulations. AutoReg AS, SmartDok AS, or SmartDok AB will have access to the customer's data as needed.

Sub-data processors
Infrastructure and core services (always applies):
- DigitalOcean LLC (digitalocean.com) — Infrastructure provider. All servers and services that process personal data are hosted with DigitalOcean.
- Amazon Web Services Inc (aws.amazon.com) — Storing files, documents, and media.
- Laravel Nightwatch (nightwatch.laravel.com) — System monitoring. May process personal data included in requests, logs, and error messages.
Communication Services (always applies):
- Mailgun / Sinch (mailgun.com) — Sending email.
- Vonage Holdings Corp (vonage.com) — Sending SMS messages and voice calls.
- Sveve AS (Org. no. 919 721 804) — Alternative supplier for sending SMS messages.
Partners (always applies):
- SmartDok AS (Org. no. 988 578 932) / SmartDok AB (Org. No. 5569402323) — Handles sales and support for AutoReg AS. Customer information is available to SmartDok personnel if technical assistance is needed. SmartDok can also retrieve data via AutoReg's API if the customer has activated this integration.
Accounting Integrations (only applies when activated):
The following sub-processors are only used if the customer has activated the relevant integration. The information that is automatically shared is information registered on the customer card. If an invoice basis is created, this will be automatically sent to the accounting system as long as the integration is activated. Access keys to the accounting system are stored encrypted.

4. Communication
AutoReg may need to send you information about the Service, such as important service announcements and administrative messages, via SMS, email, or other electronic communication methods, by posting a message on the Website, or through other relevant communication channels.
AutoReg can offer to send you information via SMS, email, or other electronic communication methods.
5. Integrations
We can make functionality available that allows you to integrate other services (“Integration Service”) into AutoReg. Use of such services will be subject to the terms and conditions applicable to the integration service being used.
When using the service or third-party integrations to the service, you may be exposed to commercial messages and advertisements. The website and service may contain links to third-party websites. These links are provided solely as a convenience to you and not as an endorsement by AutoReg of the content on such third-party websites. AutoReg disclaims any responsibility for the content of affiliated third-party websites.
6. Intellectual Property
All rights in, to, and interest in the Service (excluding User Content) are and will remain the exclusive property of AutoReg AS. The Service and its content are protected by copyright and other intellectual property rights in the country where you live, as well as in foreign countries.
Except for the limited, personal, non-exclusive, non-transferable, and revocable license granted to you for the sole purpose of your use of the Service in accordance with the Terms, you are granted no ownership or license to any intellectual property rights in our Service or in any content owned by us or our partners that you access through the Service.
The trademarks, logos, domain names, and other similar signs or symbols displayed on the website or as part of the service are registered and unregistered marks of AutoReg. Nothing in the terms grants you the right to use such marks.
You retain your rights to any content you submit, post, or display on or through the Service. By submitting User Content, you grant AutoReg, or ensure your licensors grant AutoReg, a non-exclusive, royalty-free, perpetual, transferable, sublicensable, irrevocable, and worldwide license to use, reproduce, store, modify, distribute, publish, and create derivative works of such User Content for the purpose of providing, monitoring, and improving our Service. You represent and warrant that you own any User Content submitted by you, or that you otherwise have the right to submit such User Content and grant us such a license.
7. Trial period

8. Conclusion
You can terminate your use of our service by contacting our partner SmartDok AS (support@smartdok.no). As a subscriber to a paid plan, you can cancel your subscription at any time and will have access to the service for the remainder of the (prepaid) billing period. The company reserves the right to terminate the Service and the agreement with you with immediate effect upon written notice to you. No users are entitled to a refund upon termination due to a breach of these terms and conditions.

Data export
The data controller can request an export of their data at any time by contacting support. The export will be delivered in a structured, commonly used, and machine-readable format. Requests for data export should be directed to support@smartdok.no.
Data deletion
AutoReg does not delete any data on behalf of the customer, unless the customer deletes the information themselves. The customer has the option to delete personal data at any time through the system's functionality.
When a customer is deleted, all information is automatically deleted after 30 days. All data will be completely removed from backups after a total of 60 days from customer deletion.
9. Diverse
Disclaimer of warranty. AutoReg provides the Service to you «as is.» You acknowledge that the Service is not error-free. You use it at your own risk and discretion. This means that the Service comes with no warranty. Express or implied. The Service will be continually developed, and you acknowledge that changes to functionality and layout may be made without prior notice. AutoReg makes no warranties, express or implied, regarding the availability, merchantability, fitness for a particular purpose, non-infringement, accuracy, completeness, performance, and quality of the Service. AutoReg will from time to time need to perform updates and maintenance on the Service, due to technical, security, or operational reasons, and during this period the Service may be unavailable. AutoReg will make reasonable efforts to schedule updates and maintenance outside of peak hours.
Limitation of Liability. AutoReg shall not be liable for damages, whether arising in contract, tort, warranty, indemnity, strict liability, or otherwise, including, without limitation, incidental and consequential damages, lost profits or business opportunity, or damages resulting from loss of data or loss of access to Service. In no event shall AutoReg’s aggregate liability exceed the amount you paid for the Service during the twelve (12) months immediately preceding the event giving rise to the liability.
Indemnification. You agree to hold, defend, and indemnify AutoReg and its affiliates from and against any and all claims, liabilities, and expenses (including reasonable attorneys' fees) arising from your misuse of the service in violation of these terms or applicable laws. AutoReg reserves the right, at its own expense, to assume the exclusive defense and control of any matter otherwise subject to indemnification by you. You shall cooperate in good faith with AutoReg in asserting any available defenses.
Partial invalidity. If any provision of these terms is declared invalid or unenforceable by a court or other binding authority, the remaining terms (or parts), conditions and provisions shall remain valid and enforceable to the extent permitted by law.
Force majeure. Force majeure means any circumstance beyond the reasonable control of either party, including, without limitation, fire, explosion, strike or other labor dispute, riot or other civil commotion, voluntary or involuntary compliance with any law, order, regulation, recommendation or request of any governmental authority, and failure or downtime of the network, power supply, gateway or similar communication failure. Neither party shall have any liability, other than for the payment of monies due, for its failure to perform any of its contractual obligations arising out of or in connection with events of force majeure.
Mission. AutoReg has the right to assign its rights and obligations under the Terms and Conditions to a third party at its sole discretion.
Choice of law and dispute resolution. The terms and conditions shall be governed by and interpreted in accordance with Norwegian law. Any dispute, controversy, or claim arising out of or in connection with the terms and conditions shall be subject to the jurisdiction of the Norwegian courts, with Lofoten District Court, Norway as the venue.
10. Data Collection
AutoReg collects and processes the following data:
User accounts and login When creating a user account, name, email address, phone number, role, and department affiliation are stored. When logging into the app, information about the device manufacturer, model, OS version, app version, and time of last login is stored.
Tours and task registration Start and stop of trip (manual user registration). What is stored: Time of start/stop, as well as logged-in user and associated machine/vehicle. Start and stop of task can occur either manually or automatically depending on settings. What is stored: Time of start/stop, logged-in user, activity, duration, distance, and any comments.
GPS tracking and location data GPS positions are logged when the map is displayed, after a trip has started. This logging is active until the trip is stopped. What is stored: GPS positions (coordinates), direction, speed, and timestamp.
How does AutoReg use positional data?
- AutoReg automatically processes GPS positions, allowing us to show on the map which parts of a task have been completed.
- Administrators have access to the trip log when documentation is needed, and can also see employees on the live map.
- Users with the insight role have access to an anonymized trip log where names are hidden. In the live map, employee names are hidden.
Images and media Users can upload pictures related to tasks and trips. GPS coordinates are stored with the pictures (geotagging).
SMS and voice calls The system sends SMS messages and automated voice calls to users. SMS messages are stored encrypted. For voice calls, call status, duration, and any user response are logged.
Comments and approval Users can add comments to tasks and logs. Logs can be approved or rejected by administrators, with a timestamp and a reason if applicable.
Billing and Reports The system generates invoice bases and reports based on registered work logs.
Revision Log All changes in the system are automatically logged with information about who made the change and when.
